Office Cleanout Checklist

An office cleanout is a logistics exercise with a legal deadline attached. Almost everything that goes wrong is a sequencing failure rather than a hauling one.

The clear-out itself is straightforward. What complicates an office is everything around it: a building manager who needs notice, a lift that has to be booked, a lease that specifies a handback condition, and a data obligation that has to be discharged before hardware leaves.

Work backwards from the handback date rather than forwards from today. That is the single change that makes these go smoothly.

Four weeks out

    Read the lease

    Handback condition, reinstatement obligations, whether partitions and cabling must come out.

    Notify the building

    Loading bay booking, service lift access, permitted hours, insurance documentation required.

    Decide what is reused

    What moves to the new premises, what is sold or donated, what is disposed of.

    Book the clear-out

    Lease dates cluster at month end — that is when commercial capacity is tightest.

Two weeks out

  • Empty every filing cabinet — they are dangerous full and it is how confidential paper leaves by accident
  • Arrange certified data destruction for drives and confidential paper
  • Label anything being retained or relocated
  • Confirm powered cubicle panels will be isolated by a licensed electrician
  • Photograph the space as it currently stands
  • Tell staff what they need to clear from their own desks
  • Confirm whether ceiling, flooring and partitions are in scope
  • Check whether the incoming tenant wants any fixtures

The three things that most often derail it

**Powered cubicles that were not isolated.** Panels with base feeds must be disconnected by a licensed electrician before a crew touches them. This is the single most common reason a cubicle teardown is rescheduled.

**A lift that was not booked.** In an occupied multi-tenant building, the service lift is the bottleneck for the entire job. Without a slot, a one-day clear-out becomes a two-day one.

**Data left on hardware.** Certified destruction is your obligation and it has to happen before the hardware goes. No hauling company should be offering to handle it.

How far ahead should a full floor be booked?
A week minimum, two if you can. Lease-end dates cluster hard at month ends across the whole territory.
Can the work happen out of hours?
Yes, and in an occupied building it usually should. Evenings and weekends mean free lifts and no working around meetings.
What happens to usable furniture?
Where it is in good condition and there is a reuse or donation outlet taking it, that is a better destination than disposal. Flag which items before the day so they are kept separate.
